Public end-user documentation for navigating and using the RBM Retail App without login or formal training. This guide covers everyday workflows so new users can learn the product before signing in.

Roles at a glance

What you can open in the app depends on your assigned role.

Cashier
Front-line sales staff who run the POS, process returns, and manage their own staff shifts.

Open the app in your browser (or installed desktop/mobile app), sign in with the credentials provided by your administrator, and you will land on the Sales screen.

Steps

  1. Go to the application home page (login screen).
  2. Enter your username or email and password.
  3. Select Login. On success you are taken to Sales (/sales).
  4. Use the top navigation to move between modules available for your role.

Tips

  • If you cannot sign in, confirm your account is active and contact your store administrator or support.
  • You do not need a tenant slug on the standard login screen—your account is already linked to your organization.

Cashiers should start a staff shift before selling. Closing a shift records cash, card, voucher, and gift-card totals for handover or end-of-day.

Steps

  1. From the header, choose Start Shift (or open /staff-shift/start).
  2. Enter your staff code or scan the staff barcode and record opening cash.
  3. Process sales during the shift.
  4. When finished, choose Close Shift.
  5. Select Handover (pass the till to another staff member) or Close Day.
  6. Enter counted denominations and confirm amounts before submitting.

Tips

  • Logout may be blocked while you still have an open staff shift—close the shift first.
  • Managers can review and close shifts from Shift Manage (/shifts).

The Sales screen is the main checkout. Add items by search or barcode, attach a customer if needed, then take payment and print the receipt.

Steps

  1. Open Sales from the navigation bar.
  2. Search by product name, item code, or scan a barcode (USB scanner or camera).
  3. Adjust quantity and line discounts as needed.
  4. Optionally select or create a customer (walk-in customers are supported).
  5. Use Hold to park a bill and Recall to bring it back later.
  6. Select Pay Now and choose Cash, Card, and/or Discount Code / Gift Card.
  7. Split payments across methods when required, then complete the sale.
  8. Print or reprint the receipt from the bill confirmation.

Tips

  • If the cart has items, the app may ask you to confirm before leaving the Sales screen.
  • Cash payments can open the cash drawer automatically when a drawer is configured.
  • The POS continues to work offline; transactions sync when the connection returns.

Use Price Check to verify a sell price without creating a bill.

Steps

  1. Open Price Check from the navigation bar.
  2. Scan a barcode or search for the product.
  3. Review the displayed price and product details.

Returns start from an original bill. Depending on store settings, cashiers may create pending requests that managers approve before processing.

Steps

  1. Open Returns, then Create Return Request.
  2. Search for the original bill.
  3. Select the items to return and choose Refund, Replacement, or Exchange.
  4. Submit the request.
  5. If approval is required, a Manager or Admin reviews and approves or rejects it.
  6. After approval, process the return to complete refund or replacement.

Details

  • Statuses typically move through Pending → Approved/Rejected → Processed (or Cancelled).
  • Use the Returns list to track open and completed requests.

Inventory covers the product catalog and stock operations for purchase, receiving, transfers, and barcode labels.

Details

  • Catalog — view and maintain products and stock levels.
  • Purchase Orders — create and print supplier orders.
  • Purchase Invoices — record goods received against purchases.
  • Stock Transfers — move stock between stores and print transfer documents.
  • Store Stock — review on-hand quantities by store.
  • Barcodes — generate and export barcode labels for products.
  • Bulk upload — import product/catalog updates from files when available.

Masters is where administrators maintain reference data used across sales and inventory.

Details

  • Users — application login accounts and roles.
  • Staff — staff codes used for shifts and attendance.
  • Categories and Sub-Categories — product grouping.
  • Products — item master including pricing and barcodes.
  • Customers — customer profiles for POS and history.
  • Currencies — multi-currency setup.
  • Stores — store profiles and codes.
  • Vendors — supplier records for purchasing.
  • Bulk CSV import is available for several master entities.

Open Reports from the header or the reports hub. Filter by date and store when your role allows.

Details

  • Sales Report — historical sales performance.
  • Supplier Sales — sales analyzed by supplier with stock and pricing context.
  • Collections — payment collections summary.
  • Handover — shift handover amounts and breakdowns.
  • Daily Close — end-of-day closing figures.
  • Cart Changes — audit of cart modifications.
  • Today’s Sales — cashier-focused view of the current day.
  • Stock / Stock Movements / Stock Ledger — inventory position and movement history.

RBM Retail is offline-first. You can continue selling when the network drops; queued work syncs automatically when you are back online.

Details

  • Watch the network / sync indicator in the header.
  • Avoid force-closing the app mid-sync when possible.
  • If a page fails to load while offline, use Offline mode recovery screens when shown.
